This Privacy Policy explains how SolarBatteryInsure collects, uses, discloses, secures, and retains personal information when individuals visit the website, submit an inquiry, create an account, use an organization workspace, upload installation evidence, conduct a review, purchase a plan, or interact with monitoring, API, or AI features.
1. Information we collect
We collect information provided directly, including names, work contact information, company and role, inquiry content, account identifiers, installer contacts and credentials, installation and property information, equipment identifiers, permits, photographs, certification evidence, checklist responses, reviewer notes, findings, certification scope, manually recorded monitoring observations, and support communications. Payment processors provide resource identifiers and transaction status; we do not intentionally store complete payment-card numbers or security codes.
We also collect technical and usage information such as device and browser characteristics, IP address, authentication events, page and feature interactions, error and security logs, timestamps, audit events, source freshness, and integration status. Connected vendor integrations may supply inverter, battery, temperature, charge, fault, and related telemetry according to the permissions and capabilities of that provider.
2. How we use information
We use information to provide and secure the Service; authenticate users; enforce roles; maintain organization and installation records; host and review evidence; calculate transparent decision-support factors; preserve audit history; issue certification artifacts following human approval; display source-aware monitoring; operate carrier portfolio and API workflows; process payments; answer inquiries; provide product support; detect abuse; debug and improve reliability; comply with law; and enforce agreements.
3. AI assistant
When a user sends a message to the product assistant, the prompt and limited conversation context are transmitted to the configured AI service to generate a response. Users should not submit secrets, unnecessary personal information, or sensitive installation evidence in chat. AI responses are product guidance and are not engineering, safety, legal, or underwriting advice.
4. Legal bases and consent
Depending on location, processing may rely on performance of a contract, legitimate interests in operating and securing the Service, compliance with legal obligations, protection of vital or legal interests, or consent. Where consent is required, it may be withdrawn for future processing, although other lawful processing may continue.
5. How we disclose information
We disclose information to infrastructure, hosting, object-storage, authentication, analytics, AI, communications, monitoring-integration, and payment providers that support the Service; to authorized users within the relevant organization and permitted reviewer or carrier scope; to professional advisers; in a corporate transaction subject to appropriate safeguards; when required by law or valid legal process; and when reasonably necessary to protect rights, safety, systems, users, or evidence integrity. We do not sell personal information for money. If applicable law defines certain analytics or advertising disclosures as a “sale” or “sharing,” required choices will be provided.
6. Role-based visibility
Installation evidence, reviewer decisions, findings, certifications, alerts, monitoring records, and portfolio summaries are available only according to authenticated role and organization scope. Owner administration is restricted to the owner/admin role. Customers control many role assignments and are responsible for granting appropriate access.
7. Retention
We retain personal information for as long as needed to provide the Service, preserve legitimate certification and audit history, maintain security and fraud records, resolve disputes, comply with contracts and law, and support reasonable backup cycles. Retention varies by record type and contractual requirements. We may deidentify information and retain it where the data can no longer reasonably identify an individual.
8. Security
We use administrative, technical, and organizational safeguards designed for the nature of the information, including authentication, server-enforced role checks, object storage, evidence checksums, audit sequencing, access logging, and payment-token separation. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Users must protect their authentication methods and report suspected compromise promptly.
9. International processing
Information may be processed in countries other than the individual’s location. Where required, we use contractual or other recognized safeguards for cross-border transfers. Customers should review applicable data-location requirements before uploading regulated evidence.
10. Privacy rights
Depending on location, individuals may have rights to access, correct, delete, restrict, object to, or obtain a copy of personal information, and to withdraw consent or appeal a denied request. We may verify identity and authority before completing a request. Some information may be retained when required by law, contract, security needs, legal claims, or the integrity of certification and audit records. Requests may be sent to privacy@solarbatteryinsure.com.
11. Cookies and analytics
The Service may use essential cookies for authentication, security, and preferences, and limited analytics to understand traffic and product operation. Available browser or consent controls should be used to manage optional technologies. Blocking essential cookies may prevent authenticated use.
12. Children
The Service is designed for businesses and professionals and is not directed to children under 13 or the higher minimum age required by local law. We do not knowingly collect personal information from children for independent use of the Service. If such information is identified, contact us so it can be reviewed and deleted where appropriate.
13. Third-party services
The Service may link to or integrate with third-party websites, payment processors, equipment vendors, and monitoring providers. Their privacy practices are governed by their own notices. SolarBatteryInsure is not responsible for independent third-party practices.
14. Policy changes and contact
We may update this Policy to reflect product, legal, or operational changes. The effective date will be revised and additional notice will be provided when required. Privacy questions and requests may be sent to privacy@solarbatteryinsure.com.
